The client

Care at home, with less admin behind it.

Therapy at Home delivers physical, occupational, speech and massage therapy to patients in their own homes. As the practice grew, so did the work around the care itself: protecting patient data, booking appointments, handling new referrals and being found online.

CloudsStream has worked with Therapy at Home for about a year. The engagement began with a single security problem and expanded into an ongoing partnership across security, operations and digital presence.

What we delivered

Four problems, solved one at a time.

  1. A secure cloud workspace on Google Cloud

    Challenge

A team needed regular access to the practice's healthcare software, and that access had to be controlled in a way that protected patient information and supported HIPAA compliance.

    What we delivered

We set up a dedicated, locked-down (hardened) workspace on Google Cloud. The team signs in and works with the healthcare software entirely inside that controlled environment, rather than from their own devices. Patient data stays within a managed, secured boundary, and the practice's HIPAA compliance posture is strengthened.

  2. Automated, validated appointment scheduling

    Challenge

Patient appointments were booked by hand in Google Calendar. It was time-consuming and left room for double bookings and errors.

    What we delivered

We built an automation using Google Apps Script, connected to Google Sheets and Google Calendar. Appointments are captured in one place, checked automatically for conflicts and errors, and placed on the calendar without manual re-entry. Scheduling now takes a fraction of the time and is far less error-prone.

  3. Zoho CRM and lead automation for the intake team

    Challenge

The intake team tracked leads and new patients in Google Sheets, with no single view of where each referral stood or what needed to happen next.

    What we delivered

We moved intake off spreadsheets and onto Zoho CRM, configured around how Therapy at Home actually works, with custom modules and workflows that follow a referral from first contact to scheduled care. We automated lead handling, so new leads are captured in Zoho and routed to the intake team without manual entry. We onboarded the intake team onto the new system, and intake and lead handling now run in it day to day.

  4. Website rebuilt on modern web technologies, with ongoing SEO and content

    Challenge

The WordPress website was slow and dated, and the practice had no ongoing SEO or content effort. That held back search visibility and the first impression for prospective patients and referral partners.

    What we delivered

We migrated the website off WordPress and rebuilt it with modern web technologies. The new site loads faster and performs better on Google's speed and user-experience measures (Core Web Vitals). We also manage the site's search presence on an ongoing basis:

    • Making sure Google can find, understand and rank every page (technical SEO), monitored and maintained over time
    • Content writing: service pages and articles written for patients and referral partners searching for in-home therapy

Results

Less admin. More time for patients.

~5 hrsSaved every week
on manual booking, with scheduling conflicts caught before they reach the calendar.
~30%Faster lead response
with every referral tracked in one system from first contact to scheduled care.
~20%More organic traffic
from a faster site that passes Google's speed checks (Core Web Vitals), plus SEO and new content.

The team now reaches the healthcare software only through a controlled cloud environment.

In their words

“What I value most is that it's one team that understands our whole operation.”

When we first brought CloudsStream in, we had one specific problem: our team needed secure access to our healthcare software, and we couldn't compromise on protecting patient information. They built a locked-down cloud workspace that solved it properly, and that set the tone for everything that followed.

Over the past year they've become our technology partner across the practice. Appointment scheduling used to be done by hand; now it's automated, with conflicts caught before they reach the calendar. Our intake team moved off spreadsheets onto Zoho CRM, set up around how we actually work, and new leads are now captured and routed automatically, so no referral slips through the cracks.

They also rebuilt our website and look after our SEO and content, so families and referral partners can find us. What I value most is that it's one team that understands our whole operation, from security to the front door of our website. I'd recommend CloudsStream to any healthcare practice that wants to spend less time on admin and more time on care.

Why it worked

One partner, one problem at a time.

Start with what matters most

The engagement started with security, then moved to the next real bottleneck once each problem was solved.

Fit the tools to the team

The automations and CRM were built around existing workflows and tools the team already used, such as Google Workspace and Zoho, so adoption was straightforward.

One partner across the stack

Cloud security, automation, CRM, the website and SEO were all handled by the same team, so nothing fell between vendors.

Running your practice on spreadsheets and manual work?
